Choose a benefit you can observe
A small internal app might reduce duplicate requests, make status easier to find or simplify a correction. Define the outcome precisely enough that a reviewer can tell whether it occurred. Avoid beginning with a revenue target that the prototype cannot establish. An attractive interface and a working form are useful implementation results, but they do not prove customer demand, pricing power or a profitable business model.
Record a modest before-and-after comparison
Use the same task and comparable conditions for the old and proposed workflows. Note time, mistakes and help required without collecting unnecessary private information. A tiny pilot gives limited evidence, so report its size and context honestly. Do not present a single successful demonstration as a representative average. Keep qualitative feedback alongside the observations so a faster task that confuses users does not look unconditionally better.
Compare the full cost of the improvement
Include software, review and maintenance assumptions in the comparison. If a hypothetical app saves two hours but takes three hours to maintain, the tradeoff deserves attention. Those quantities are an illustration, not a forecast. Benefits can be nonfinancial, such as clearer accountability, but should still be described concretely. A lower subscription price alone does not establish better value if the task remains difficult or unreliable.
Decide what evidence the next phase needs
If the pilot improves the task, identify the next uncertainty: sustained use, reliability or a genuine willingness to pay. Test that question separately and with appropriate consent. Do not convert an affiliate relationship into proof that a platform is best for every reader. Our purpose is a useful decision, including a decision to use an existing tool or stop building when the evidence does not justify further commitment.
