Choose a denominator that means something
Registered accounts are not necessarily active users. For an internal tool, define a useful user as somebody who completes the target task within the chosen month. For a public app, choose an equally concrete measure. State whether the number is a planning assumption or an observed count. Changing that definition can change the result more than choosing a different subscription tier.
Include the costs you actually control
Start with the builder subscription and add a separate estimate for connected services. Divide their sum by the number of useful users. For example, a hypothetical $100 platform budget plus $20 in other software, spread across 10 users, is $12 per user per month. These are invented arithmetic inputs, not Overskill prices or evidence that ten customers will use your app.
Do not hide the variable-cost tail
If customers trigger AI work, send messages or upload files, their activity can introduce costs that rise with usage. Model a quiet and a busy month separately rather than averaging away the uncertainty. Ask which costs continue when no new app-building work happens. If you cannot answer, keep a visible unknown-cost row and avoid presenting the planning total as a ceiling.
Use the result to change the project
A high planning cost might suggest a simpler workflow, fewer connected services or using a standard product. A low cost does not prove that the app creates value. Pair the figure with evidence about time saved, errors avoided or tasks completed, and include the cost of maintaining the result. The calculation helps compare assumptions; it cannot establish profit or customer demand.
- Run the same budget with five, ten and twenty hypothetical useful users. Label every result as a scenario; none establishes current demand, revenue or the amount a provider will invoice.
